Release 5.03

SUMMARY

The latest release of T-JACS contains a few new features to streamline time tracking, expand invoice capabilities, and to work with RFP Jobs.

Time sheets now allow adding a new job scope at the same time.

Invoices have the ability now to apply administrative charges, such as a credit card fee. In addition, several more subtotals are now shown on the invoice so that you can confirm the totals in each step.

A new option allows generating RFP job numbers per employee. When an employee creates an RFP job, the next job number can be taken from their own job number counter, instead of a single, global number.

A few bug fixes have been applied, with a more significant one preventing adding a job when certain values did not validate as expected.

NEW FEATURES

Added Administrative Charge to Invoice

  • T-JACS now allows for recording an administrative charge on the invoice, such as for using a credit card to pay an invoice.

  • The charge is added after tax.


Allow Adding a New Scope and Task with Time Sheet

  • T-JACS now allows you to create a new job scope and/or task when entering time sheets.

  • If a default scope is already selected when entering a time sheet, deselect it by choosing Select Scope.

  • Click on + Add Scope / Task to open the sub form and fill in the details. If the task name is left blank, no task will be created.

  • Continue editing the time sheet as usual.


Allow Option to Generate the Next RFP Number per Employee

  • T-JACS now has an option of generating the next RFP number by employee, with each employee having their own next job number.

  • In T-JACS Admin, under Job Control, Next Job Number, there is a new option:

    • Use Employee Next RFP Number: Uses the next RFP number based on the employee.

      • Next RFP Number is shown on Employee form. For this to work effectively, employee numbers numbers must be only numeric for employees that have the ability to create jobs. For employees that have other letters or symbols in the employee number, the next job number is initialized to 1001 and should be manually adjusted.

    • When the option is selected, on the employee edit form, a new field is shown: Next RFP Job Number.

    • The Next RFP Job Number is auto-initialized using the numeric value of the employee number multiplied by 1000 and adding 1.

      • If the employee number is 017, the initialized Next RFP Job Number would be 17001.

      • If the employee number is not completely numeric, such as 017B, the initialized number would be 1001. You should manually adjust this in the employee edit form as needed so that the number does not conflict with other employee numbers.

      • After about 999 jobs have been created, you can manually reset the counter back to 1. RFP jobs should not be long-lived, so it is unlikely to create a conflict. Other options are to re-initialize the number higher, such as 170001.

Show More Subtotals on the Invoice

  • On the invoice, more subtotals are shown, including:

    • the total amount before and after the applied discount.

    • the total amount after the applied taxes.

    • the total amount after the applied shipping

Export Vendors as CSV (Release 5.02B)

  • T-JACS now allows exporting vendors with their locations and primary contacts to a CSV file.

Export Customers as CSV (Release 5.02B)

  • T-JACS now allows exporting customers with their primary contacts to a CSV file.

Refactor Customer List By Employee (Release 5.02B)

  • Refactored the list to show customers assigned to an employee.

Added T-JACS Executive User Role (Release 5.02B)

  • An executive role allows setting an office role that can give permissions without elevating their own permission to bypass confidentiality restrictions.

Added Reconcile Inventory Admin User Role (Release 5.02B)

  • A role was added that will allow a user to place materials in any inventory location, regardless of ownership.

  • The Role is an executive position, so office roles can’t give this to themselves.

Add WIPR Menu to Inventory Menu (Release 5.02C)

  • T-JACS now allows access to the WIPR Bin List from the inventory menu.

FIXES


Fixed Display of Special Characters in Titles

  • Some titles would display incorrectly when using special characters, such as ampersands and quotes.


Fixed Error Adding a Job to a Customer (Release 5.02B)

  • When adding a job to a customer, while also adding a job site and contact, the role name was not applied correctly.

  • The contact could not be edited as expected to change the user access.

Exclude Deleted Items From Scope Items Count (Release 5.02C)

  • The count of items on a job scope included deleted items.

Fixed Error When Adding a Customer With New Job (Release 5.02C)

  • When adding a customer at the same time as adding a job, an error prevented the record from being saved.

  • The Customer ID was not passed along to the Customer Contact.

Fixed Error When Adding a Job Site With New Job (Release 5.02C)

  • When adding a job site at the same time as adding a job, a validation error prevented the record from being saved.

  • The job types on the job site did not match the job type on the new job, so now the job type on the job is automatically applied to the job site if it isn’t already specified.
